Presenter Guidelines

Presentation Duration

  • Short Oral Presentation (5 minutes) will consist of a 5-minute presentation. If you wish to have Q&A as part of your presentation, we recommend not having more than 5-6 presentation slides.
  • Short Oral Presentation (10 minutes) will consist of a 10-minute presentation. If you wish to have Q&A as part of your presentation, we recommend no more than 3 minutes for Q&A.
  • Short Oral Presentation (15 minutes) will consist of a 15-minute presentation. If you wish to have Q&A as part of your presentation, we recommend no more than 5 minutes for Q&A.
  • Oral Presentation (20 minutes) will consist of a 20-minute presentation. If you wish to have Q&A as part of your presentation, we recommend no more than 5 minutes for Q&A.
  • Workshop Presentation (90 minutes) will consist of a 90-minute presentation. We encourage you to make this workshop engaging and intriguing, integrating Q&A as needed.

Where to go when you are onsite

We ask speakers to bring their presentation on a USB and visit the Speakers’ Preparation Room (M10) 3 hours before their scheduled presentation time to upload their slides. A technician will be present in the Speakers’ Preparation Room (M10) to assist. There will be a facility to test and modify your presentation if required. If you wish to have videos in your presentation, please embed them and let the AV Technician know. Attached is a PowerPoint slide template for your reference. While not mandatory, feel free to utilise it if you find it helpful.

Presentation Facilities

The room will consist of a laptop pre-loaded with your presentation and a clicker/laser pointer. The following items will also be available for speakers within each room: PowerPoint, windows-based PC, data projection facility, single screen, lectern, and lectern microphone. Speakers are requested to assemble in their session room 10 minutes before the commencement of their session (if possible), to meet with their session chair and to familiarise themselves with the room and the audio-visual equipment.

As the event draws near, we understand you will be planning/finalising your presentation.

To enable you to be prepared we advise that each room will be equipped with the following:

  • Data projector
  • Screen
  • Microphone
  • Lectern
  • Laser pointer
  • Laptop
  • Wi-Fi access (throughout the conference venue)

If you require anything additional to the above, please email your request to lucy@laevents.com.au and we will endeavor to meet your requests.

Preparing Your Presentation

  • Presentation slides should be in widescreen format (16:9).
  • You may use PPT or Prezi to prepare your presentation. A template PPT Slide will be made available if you wish to use this, however there is no requirement for you to do so.
  • You will need to bring your presentation with you on a USB and load this in the speaker’s preparation room (M10). 
  • If you have audio and/or video in your presentation, please ensure you have the files saved separately as embedding the media does not always include them in the PowerPoint file.
  • This will allow the Technical Team to re-embed and/or change the format of the video onsite if needed.
  • If you are using custom fonts not found in the standard system fonts, please use the “Embed fonts in file” feature found in Save As/tools/save options. This will ensure that your fonts travel with the PowerPoint file when saved.
  • Please ensure contents of your presentation including photos, data, graphs etc. are generated by yourself, referenced or the appropriate owner has granted you permission to include their work for educational purposes.
  • You will be asked to sign a speaker release form allowing ICMM to make your presentation available on the ICMM congress website in PDF Format.

Presenters T&CS

Terms and conditions for presenters at ICMM 2024

All ICMM presenters, whether invited or accepted via the call for proposals process, must be aware of and agree to the ICMM terms and conditions, including the speaker registration fee, and the privacy policy.

Presenter registration

All presenters must register and pay for at least the day of the congress in which they are presenting.
Presenters are entitled to register at the discounted early bird rate.

Disclosures
Presenters are responsible for ensuring that their presentation has the disclosure slide, and that the presentation has been cleared for public release. Please note that all presenters have to acknowledge that they have no conflicts of interest to disclose.
*Disclosure slide template will be available when the event comes near.
Copyright and re-use of presentations

Presenters are asked to agree that:

  • ICMM may record any session
  • a PDF of any presentation slides, where speaker consent is obtained will be uploaded to the congress website.

Presenters are responsible for obtaining appropriate copyright permissions for all presentation materials, including data, fonts, images etc. Citations and image credits must be included where appropriate.

Filming and photography
An ICMM representative may take photos or record video while a session is in progress. The ICMM team may also take screen grabs of live streamed or pre-recorded sessions and poster presentations. Images and video footage will be used for conference-related communications, post-conference highlight packages, and the promotion of future conferences.
